Restaurants, cafés and bakeries usually already have a POS to sell. The routine behind the counter (opening, production, cleaning, inventory, staff schedules) is another story: it tends to live on paper, in spreadsheets and in group chats. Below: what each type of system covers, where the gaps are and when custom software makes sense.

Does your store routine live on paper?

Meet Feeds Gestão, My Help’s food service software, or talk to us about custom software.

What the POS solves

The point of sale records orders, payments and the cash close. Many also issue receipts and show the day’s sales. It is the foundation: without it, there is no organized selling.

What usually gets left out

  • Staff routine — who opened the store, who did the cleaning, whether the checklist was completed.
  • Production — what was made, what was left over, what needs restocking.
  • Ingredient inventory — flour, milk, packaging: not the same as stock of items sold.
  • Time clock and schedules — team hours and shift swaps.
  • Daily results — goals and consolidated numbers the owner can follow without being on site.

When these pieces live on paper and spreadsheets, the usual symptoms appear: late information, checklist photos lost in the group chat and numbers that do not add up. If that sounds familiar, the guide spreadsheet or business software helps you spot when to switch.

Management software for food service

This is the system that runs operations alongside the POS. That problem is what led My Help to build Feeds Gestão, its own product for cafés, bakeries and restaurants: staff log their time, photo checklists and production from their phones, and the manager tracks inventory, goals and P&L in the same dashboard, working alongside the POS the store already uses. When custom software makes sense

Off-the-shelf software covers the common routine of the industry. Custom software comes in when the operation has something that does not fit the standard:

  • Several locations with different processes that need a single dashboard
  • Central production supplying points of sale
  • Integration with a system you already use and do not want to replace
  • A workflow of your own that is the core of the business

In those cases, compare cost and timeline carefully: custom or off-the-shelf and how much a custom web application costs.

How to choose

  1. Map one day of routine — from opening to closing, who does what.
  2. Note where things are tracked today — POS, paper, spreadsheet, chat.
  3. Pick what hurts most — checklists, production, inventory or staff.
  4. Test with the team — if staff do not use it on their phones, the system does not work.
